May 25, 2026 – Toronto, ON: Ecclesiastical Insurance has released a new risk management bulletin, Renting Your Space: A Practical Risk Management Guide, designed to help faith-based organizations, schools, and non-profits navigate the risks that arise when their facilities are used by outside groups.
From church halls hosting AA meetings and recovery groups, to school gymnasiums welcoming weekend sports leagues and dance studios, third-party rentals are a practical reality for many mission-driven organizations. While they can generate meaningful revenue and deepen community ties, they also introduce liability exposures that require careful management.
“Many of the organizations we serve are already opening their doors to community groups, often without a formal process in place to protect themselves. This bulletin gives them a straightforward starting point, from assessing the event to making sure the right insurance protections are in place, so they can say yes to their communities with confidence.”
– Colin Robertson, Chief Experience Officer, Ecclesiastical Insurance
The bulletin walks property owners and administrators through each stage of the rental process, from assessing whether an event is an appropriate fit, and structuring a sound rental agreement, to ensuring the right insurance protections are in place.
Bulletin Highlights:
- How to evaluate the event type, expected attendance, and participant demographics before approving a rental
- What to include in a rental agreement, including alcohol policies, food service rules, occupancy limits, and incident reporting
- Insurance requirements, including Certificates of Insurance, Additional Insured status, and appropriate liability limits ($2-5 million or higher)
- Owner and occupier responsibilities that remain in place regardless of the renter’s coverage
- Protocols for rentals that take place outside normal operating hours
- A quick pre-event checklist for administrators and facilities managers
The bulletin is now available in the Ecclesiastical Insurance Risk Hub and is free to access for all organizations, policyholders and non-policyholders alike.
